Privacy Policy

How Glouchkoff Design collects, uses and protects personal data when you visit this website, contact me or work with me.

1. Scope

This Privacy Policy applies to the website glou.design, to commercial requests sent through forms or by email, and to personal data processed in connection with Glouchkoff Design services.

It is intended to meet the requirements of the Swiss Federal Act on Data Protection and, where applicable, the General Data Protection Regulation of the European Union.

3. Data Collected

Depending on how you interact with the website and services, I may process the following categories of personal data:

  • Identity and contact data, such as first name, last name, email address, company, role, country, billing address and, where provided, phone number.
  • Commercial request data, such as your project context, budget, deadlines, business needs, brand challenges and answers submitted through Tally forms or by email.
  • Appointment data, such as booking details, meeting notes, Google Meet call audio and transcripts when a call is recorded.
  • Client project data, such as briefs, questionnaires, brand documents, visual materials, testimonials, research material, collaborators' details, identifiable photographs and information relating to your own clients when you provide it for the project.
  • Technical and usage data, such as IP address, browser, device, pages visited, interactions, cookies and similar technologies.
  • Marketing preference data, such as newsletter subscription status and communication preferences if you subscribe to future email updates.

I do not intentionally request special categories of personal data, such as health data, political opinions, religious beliefs, ethnic origin, biometric data or criminal data. Please avoid sending such data unless it is strictly necessary for the project.

4. Data Sources

Personal data may come directly from you, from forms or questionnaires, from emails and meetings, from documents and files you provide, from publicly available sources such as your website or public social profiles, and from service providers used to operate the website and deliver the work.

5. Purposes

I process personal data for the following purposes:

  • To respond to requests, assess whether a project is a good fit and communicate with you.
  • To prepare proposals, contracts, invoices, project scopes and onboarding questionnaires.
  • To deliver brand strategy, review, visual identity and design services.
  • To organize meetings, transcribe or summarize calls, and keep project decisions clear.
  • To manage accounting, legal obligations, payment follow-up and business administration.
  • To improve the website, measure traffic and understand how visitors interact with content.
  • To run marketing, retargeting, social media visibility and newsletter activities where applicable.
  • To document projects, publish case studies or testimonials only where the contract or the client authorizes it.

6. Legal Bases

Where the GDPR applies, processing may be based on one or more of the following legal bases:

  • Contractual necessity or pre-contractual steps, when processing is needed to respond to a request, prepare an offer or deliver a service.
  • Legal obligation, especially for accounting, tax and business record requirements.
  • Legitimate interests, such as running the website, managing client relationships, protecting the business, improving services and communicating about relevant work.
  • Consent, for example for non-essential cookies, newsletter subscription, publication of personal testimonials or certain marketing activities.

7. Service Providers

I may use trusted service providers to operate the website, communicate with clients, collect requests, manage meetings, store documents, create deliverables, analyze information and run the business.

  • Website and email hosting: Infomaniak.
  • Forms and questionnaires: Tally.
  • Scheduling and meetings: Calendly and Google Meet.
  • Storage, project management and document work: Infomaniak Drive, Notion, local devices, iCloud, Adobe tools and Canva where needed.
  • AI-assisted work: OpenAI/ChatGPT, Claude and Notion AI. I anonymize or reduce personal data where possible, while some project, company, brand or publicly available information may still be processed when necessary for the work.
  • Analytics, marketing and security tools may include Google Analytics, Jetpack Stats, Meta Pixel, LinkedIn Insight Tag, Hotjar or similar tools, Google reCAPTCHA or anti-spam tools, and embedded LinkedIn or Instagram feeds.
  • Operational providers may include banks such as UBS, accounting tools, future fiduciaries, printers, developers or other subcontractors involved in a specific project.

Only the information necessary for the relevant purpose is shared.

8. International Transfers

Some providers may process personal data outside Switzerland or the European Economic Area, including in countries that may not provide the same level of data protection.

Where required, I rely on appropriate safeguards such as standard contractual clauses, adequacy decisions, contractual protections, provider security measures or your explicit instructions in the context of the service.

9. Cookies and Tracking

The website may use cookies and similar technologies for technical operation, security, analytics, performance measurement, marketing and embedded social content.

Non-essential cookies and tracking technologies should only be used where permitted by applicable law and, where required, after consent. You can also control cookies through your browser settings.

10. Newsletter and Social Media

If you subscribe to a newsletter or future email updates, your email address and subscription preferences will be processed to send those communications. You can unsubscribe at any time using the link provided in the emails or by contacting me.

Glouchkoff Design uses LinkedIn under the name Svetlana Glouchkoff and Instagram under glou.design. When you interact with these platforms, their own privacy policies also apply.

11. Retention

I keep personal data only for as long as necessary for the purpose for which it was collected.

  • Rejected or unanswered requests, prospect questionnaires, NDA-related information, client exchanges, project files and deliverables are generally kept for up to 12 months, unless a longer period is necessary for a legitimate reason.
  • Contracts, invoices, accounting records and legal documents are retained for the legally required period.
  • Published testimonials, case studies and portfolio references remain online for as long as they are relevant or until removal is requested where applicable.

12. Your Rights

Depending on the applicable law, you may have the right to request access to your personal data, correction, deletion, restriction of processing, portability, objection to processing, or withdrawal of consent where processing is based on consent.

13. Security

I take reasonable technical and organizational measures to protect personal data against unauthorized access, loss, misuse or disclosure. No digital system is completely risk-free, but I limit access to personal data to what is necessary for the work and business administration.

14. Updates

This Privacy Policy may be updated when the website, tools, services or legal requirements change. The latest version published on this page applies.
